ABSN Academic Assistant- New Braunfels

Texas Lutheran University seeks an Academic Assistant for Nursing to provide administrative and clerical support to the Nursing Campus in New Braunfels. Reporting to the Director of Nursing and Assistant Director of Nursing, the Academic Assistant is a critical member of the Nursing Department and contributor to the success of the Nursing Department.

This position requires strong technology skills, including the proficiency to maintain the integrity and quality of data; and the ability to coordinate multiple tasks and projects within the established time frames.

Key Responsibilities:

The Academic Assistant responsibilities will include the following priorities:

  • Coordinate resources (equipment, facilities and student workers) for the nursing department.
  • Receive telephone calls/mail, greet visitors, provide information as appropriate and schedule appointments for the relevant Department Chairs, Program Directors and faculty.
  • Create, develop, and maintain electronic and paper databases and files for the programs located in the building to which the assistant is assigned.
  • Prepare, distribute, and maintain general correspondence, reports, applications, and other written/electronic documents as needed for the Assistant Director of Nursing
  • Process financial paperwork such as purchase orders, invoices, and journal entries as needed.
  • Assist with special events such as receptions or departmental and/or cross-departmental meetings.
  • Provide general oversight of the building to which the assistant is assigned including the scheduling of meeting rooms, processing of work orders for building maintenance, and maintaining office equipment in building offices and common areas.
  • Additional duties specific to departmental or institutional needs as assigned by supervisor and/or VPAA.
  • Assist the Department Chair for any department in which a faculty search is being conducted.
  • Handle other administrative needs for the ABSN program as required.

Faculty and Director Support

  • Coordinate the collection and maintenance of confidential student and faculty health information as required by regulatory agencies and clinical providers.
  • Maintain official student records for clinical and regulatory agencies.
  • Support student admission process into nursing program.
  • Proctor/administer nursing entrance exam (i.e. TEAS) for the admission process.
  • Maintain revisions, as indicated by the Director and/or Assistant Director of Nursing for nursing publications and information on internal portal and website.
  • Maintain revisions, as indicated by the Director and/or Assistant Director of Nursing for the faculty and student handbooks for the department.

Position Requirements and Qualifications:

The ideal candidate will be a strong leader, skilled administrator, and community builder, creating a strong team at the New Braunfels site. Specific required qualifications for the position include:

Education

  • Bachelor’s Degree in a technical or administrative program preferred. Relevant college coursework and/or a minimum of eighteen months of equivalent professional experience will be considered.
  • Knowledge of procedures and practices in office administration

Experience

  • Three years’ experience in an office setting

Knowledge, Skills & Abilities

  • Excellent oral and written communication skills
  • Outstanding interpersonal skills, both in person and on the telephone
  • Ability to analyze facts and individual circumstances to determine appropriate action to be taken within the limits of standard practice
  • Proficiency in English grammar, punctuation, spelling, proofreading management and desktop publishing
  • Ability to work independently to organize and prioritize work following pre-established standard practices
  • Must be able to maintain a high level of confidentiality
  • Knowledge of general office practices and procedures
  • High proficiency in personal computer systems and software
  • Ability to maintain accurate filing system and records
  • Ability to work effectively with all departments and employees of the university as well as external constituents
  • Understand and support the mission and strategic plan of Texas Lutheran University.

The baccalaureate degree program in nursing and master's degree program in nursing at Texas Lutheran University is accredited by the Commission on Collegiate Nursing Education (http://www.ccneaccreditation.o...).
